Which QuickBooks do I need?

Selecting the best version of QuickBooks for your business depends on the size of your business, how many users will be accessing the program at one time and what the reporting needs are of the users and the organization.  QuickBooks offers bookkeeping software as well as point-of-sale software for retail establishments.

1. QuickBooks Online

QuickBooks online is a cloud-based version of QuickBooks.  The favorite features voted by current users are:

  • Online access from anywhere at any time, from your tablet, phone or laptop
  • Automatic backup of your data –  no more making backups and wondering which one is the most current
  • Users and your accountant can access the data at the same time from different locations –no more emailing the data file back and forth and restoring it.  Transactions on both sides happen in real time.

2. QuickBooks Desktop

There are 3 versions of Desktop – Pro, Premier and Enterprise.  The key difference between these versions are the number of users and the complexity of your business structure.

QuickBooks Pro allows up to 3 simultaneous users, has a variety of reports and allows you to create budgets.  It is the most basic version and will suit most small businesses.

QuickBooks Premier allows up to 5 simultaneous users, has additional reporting and inventory management.  If your business maintains and sells inventory, then QuickBooks Premier is the best option.

QuickBooks Enterprise is for larger businesses and allows up to 30 simultaneous users.  Enterprise has all the features of Pro and Premier with additional inventory management features, such as tracking inventory in multiple warehouses, bin location management and barcoding.  This package is best suited for manufacturing or distribution companies.

3. QuickBooks Point-of-Sale

Instantly know what’s selling and who’s buying.  Track inventory as you sell and receive items, ring sales, manage customers and accept credit cards.

There are 3 versions of Point-of-Sale – Basic, Pro & Multi-Store.  The QuickBooks POS is perfect for most retail or food and beverage establishments.  It allows you to manage inventory, set pricing, sales and discounts, accept credit cards, close your daily sales and more.  You can convert an ordinary PC into a point-of-sale register, complete with register drawer, scanner, receipt printer and pole display.  QuickBooks POS can also print tags and pricing labels.  They also offer a mobile version for use on the road!
